TERMS OF REFERENCE

COMMUNICATIONS INTERN

 

BACKGROUND

Three decades after ASEAN was established, ASEAN leaders recognised that there remained inadequate shared prosperity, ASEAN awareness, and contact among people of ASEAN. It was of this concern that ASEAN leaders established the ASEAN Foundation during ASEAN’s 30th Anniversary Commemorative Summit in Kuala Lumpur Malaysia on 15 December 1997. ASEAN Foundation is an organisation from and for the people of ASEAN. The Foundation exists because of one vision: to build a cohesive and prosperous ASEAN Community. As an ASEAN body, the Foundation is tasked to support ASEAN mainly in promoting awareness, identity, interaction, and development of the people of ASEAN.

To carry out its mandate, the ASEAN Foundation continues to provide a platform for ASEAN youth to experience working in an inter-governmental organisation through its internship programme. Selected interns will have the opportunity to work alongside highly skilled professionals of the ASEAN Foundation to gain real-world experience, develop their professional networks, and put their academic learning into practice. At the same time, the Foundation will also leverage the interns’ skills and knowledge to support the work under Programme, Communications, and Operations Units.

 

GENERAL OBJECTIVE

The Foundation is seeking a capable Communications Intern to support the communications work of the Foundation and its programmes.

 

TASKS OF THE INTERN

The Communication Intern will commit his/her time to ensure that all communications tasks are done accordingly and in timely manner throughout the internship period. This role will see the Communications Intern interning under the supervision and mentorship of the Head of Communications. The Intern is also expected to work closely with the Digital Communications Coordinator and relevant ASEAN Foundation’s officers to carry out his/her internship. The scope of communications tasks is as follows: 

 

ONLINE COMMUNICATION

  • Support the Head of Communications in writing and planning contents for the ASEAN Foundation’s main website and ASEAN Foundation programmes’ microsites
  • Propose, edit, and proofread contents on Facebook, Instagram, Twitter, LinkedIn, and TikTok
  • Support the development of podcast contents
  • Develop e-newsletter for promotion
  • Conduct social media monitoring regularly
  • Ensure all tasks are done in accordance with the communications protocol
  • Complete other tasks as assigned

MEDIA RELATIONS

  • Assist in preparing press release and writing human interest stories
  • Ensure all tasks are done in accordance with the communications protocol
  • Complete other tasks as assigned

EVENT MANAGEMENT

  • Assist in developing communications collaterals
  • Provide support for organisation of events
  • Ensure all tasks are done in accordance with the communications protocol
  • Complete other tasks as assigned

 

EXPECTED OUTPUTS/DELIVERABLES

ONLINE COMMUNICATION

  • Help update ASEAN Foundation’s main website and ASEAN Foundation programmes’ microsites regularly
  • Develop and circulate at least 2 social media posts a week to be circulated on Facebook, Instagram, Twitter, and LinkedIn
  • Develop at least 1 TikTok content per two weeks
  • Contribute to at 1 podcast content per two months
  • Write at least 2 stories a month about ASEAN Foundation’s beneficiaries
  • Explore other innovative ways to boost ASEAN Foundation’s digital presence

MEDIA RELATIONS

  • Assist in preparing press releases for selected programmes

EVENT MANAGEMENT

  • Assist in developing communication collaterals for programme events
  • Assist in developing a speech for opening remarks
  • Take the role of Master of Ceremony

 

EXPECTED OUTCOMES

It is expected that, through this internship programme, interns could gain greater ASEAN awareness and possess a stronger ASEAN identity after finishing the internship. At the same time, interns are also expected to have better skills and knowledge in social media management, media relations, virtual event organising, and knowledge management.

 

TIME FRAME

At least 12 weeks

 

ELIGIBILITY AND ENTITLEMENTS

This internship programme invites students from Brunei Darussalam, Cambodia, Indonesia, Lao PDR, Malaysia, Myanmar, the Philippines, Singapore, Thailand, Viet Nam, and ASEAN’s Dialogue Partners to apply. Qualified internship candidates will be required to go through a rigorous, merit-based selection process. Selected interns will be required to intern from the ASEAN Foundation’s office in the ASEAN Secretariat Heritage Building, South Jakarta, Indonesia. The internship is voluntary and unpaid.

 

QUALIFICATIONS AND SKILLS

  • Final year or recent graduate (at least within one year after graduation) in Communications, Marketing, Advertisement, or Journalism disciplines
  • Excellent command of both written and spoken English
  • Familiarity in Microsoft Office 365, particularly in Excel, Power Point and Word
  • Proficient in social media and other digital marketing tools
  • Ability to take initiative and come up with creative communications and marketing solutions
  • Ability to work in a multi-cultural team environment
  • An understanding of international and/or development issues
  • Demonstrate commitment to ASEAN Foundation mission, vision and values
  • Display cultural, gender, religion, race, nationality, and age sensitivity and adaptability
