Event Organiser for the ASEAN Social Enterprise Development Programme 4.0. (ASEAN SEDP 4.0.) Regional Workshop

PROGRAMME OVERVIEW 

Continuing the success of ASEAN Social Enterprise Development Programmed (SEDP) Phase 1 until Phase 3 from 2021 to 2024, the ASEAN Foundation – with support from TikTok and SAP – is implementing the ASEAN SEDP 4.0 in 2025 with a goal of empowering social enterprises across the ASEAN region through promoting productivity, technology, and innovation, increasing access to finance, enhancing market access and internationalisation, and promoting entrepreneurship and human capital development. Since its inception in2021, ASEAN SEDP has been empowering 70 social enterprises and 280 social entrepreneurs in SoutheastAsia through virtual training and mentorship, seed grants, and business matchmaking, connecting themwith investors and ACCMSME (ASEAN Coordinating Council on MSME)-nominated officials. This year,thirty social enterprises – from early to growth stage – across 10 ASEAN Countries and Timor-Leste will be selected to participate in ASEAN SEDP 4.0.

After completing virtual training and mentorship from June 2025, all selected social entrepreneurs will attend Regional Workshop in Bangkok, Thailand, either in October or November 2025. To support the goal of enhancing access to finance and policymaking, this Regional Workshop comprises of Business Matchmaking, Networking Dinner, Social Enterprise Sharing Session which will connect the socialentrepreneurs with ACCMSME-nominated officials and potential investors, including venture capitals and angel investors. These will serve as an avenue for the social enterprises to foster relationships with ACCMSME officials, which can be a pathway to voice their aspiration to policymaking and showcase their impacts to ASEAN policymakers. In addition, the Regional Workshop also serves as a platform for social enterprises to explore potential collaboration between fellow social enterprises.

In connection with the Regional Workshop, the ASEAN Foundation is looking for an event organiser based in Thailand, preferably Bangkok, to assist with preparing and running the event.

 

OBJECTIVES

The main purposes of event organiser are to:

  • Provide and arrange the logistics needed by the ASEAN Foundation during the Regional Workshop
  • Provide emcee and documentation throughout the event
  • Arrange a Networking Dinner at a cruise
SCOPE OF WORK

The ASEAN Foundation is looking for an event organiser for ASEAN SEDP 4.0 Regional Workshop. The event organiser will work closely with the Senior Project Officer and Project Admin Consultant for ASEAN SEDP and will perform the following responsibilities:

 

Logistics Production and Arrangement

Welcoming Session and Talk Show:

  • Conduct survey visits to top 5 hotel candidates to ensure alignment with programme needs. This includes checking: (1) the capacity of meeting rooms, foyer, secretariat room, as well as whether they are comfortably located next to each other, (2) the capacity of prayer room, restrooms, lobby, and restaurant (3) the space to put photobooth and backdrop inside or outside the meeting room, (4) the traffic situation in the hotel surroundings
  • Provide videotron, lighting equipments, sound system equipments, flower decorations, centrepiece for each table, and digital assets for Welcoming Session
  • Provide a resource person(s) during the Welcoming Session and Talk Show to operate digital assets and ensure that the videotron and other IT-related rented equipment work properly during the Welcoming Session and Talk Show
  • Produce standing banner, merchandises, lanyards and ID cards, certificates, winning boards, placards, acrylic placard holders, portable podium with customised printed cover, stage marking names
  • Provide printer, paper, stage marking tape, electronic tablet, standing flags and table flags of 10 ASEAN Member States, 1 ASEAN Flag and Timor-Leste, and flagpoles
  • Set up all ASEAN SEDP logistics and collaterals prior the Welcoming Session and Talk Show Session and remove the logistics after the sessions
  • Handle registration of participants at the registration desk

Networking Dinner Arrangement

  • Suggest a list of cruise dinner package options
  • Liaise with the most recommended cruise dinner package vendor to have discussion with the ASEAN Foundation team
  • Liaise with the selected cruise dinner package to secure the package
  • Provide return transportation from and to hotel
  • Set up ASEAN SEDP logistics and collaterals at the cruise
  • Ensure timely dinner serving and smooth event running
  • Disburse payment to cruise vendor

Emcee and Documentation

  • Suggest a list of English-speaking emcees for Welcoming Session & Talk Show
  • Suggest a sign language interpreter that understand both Thai and English for Welcoming Session & Talk Show
  • Provide an English-speaking photographer and videographer for the whole event
  • Disburse payments to emcee, photographer, and videographer

QUALIFICATIONS

Essential

  • Experience in organising a regional event (minimum five years of experience in event organising service) with varying event sizes
  • Has a company profile/portfolio and possess all permits, licenses, and professional credentials to operate legally in Thailand
  • Fluent in both written and verbal English
  • Demonstrate the ability to work under a tight schedule and deliver timely and high-quality deliverables
  • Demonstrate the ability to work in a team
  • Flexible in revision and accommodating inputs
  • Familiar with video conferencing platform (Ms Teams and/or Zoom) to coordinate with the ASEAN Foundation team
  • Flexible in working in multi-stakeholder setting and experience in working in cross-cultural working environments

Desirable

  • Experience in working with intergovernmental organisations or international NGOs

 

REMUNERATION

A lump sum quotation is required, including fees for delivering all the required services. The price written in the proposal should indicate a “lump sum amount” which is “all inclusive” for the scope of work specified in the Terms of Reference

The ASEAN Foundation will handle a separate payment with the hotel. Thus, please ensure your quotation does not include hotel and meeting package fees.
